Welcome new faculty and staff to the Stark Campus. This page will help you understand the technology you will need for day-to-day activities. Please note the suggested activities before coming on campus and those to use once you receive your designated office computer. Synchronizing password

Synchronizing your password after it has been changed will push the new password out to several campus systems. Step 1 should NOT be done until you have received word from Stark Campus Helpdesk that your accounts are ready. This step should be done before coming to campus.Click the below and follow the directions.

Update online directory

Your online directory is a database of both your office and home contact information. You should review this information for accuracy once you have been told your office location and phone number. You can collect this information from your department head. You will need to setup your public options as well as verify your name spelling and correct extension. This information will then be used in University mailings and direct contact information. Please use the directions in this link to verify and update your directory information.

Use the items listed below to understand how to use your office computer and how to acquire your office computer. Be sure that you have reviewed the items listed above before continuing.

Office computer overview

Each faculty and staff member is provided an office computer. Based on your job you will need to work with your department head to review the options available to you and go over any special requirements, such as specialty software or hardware.

All office computers come standard with Office 2013 Pro Plus (PC) or 2011 (MAC), Windows 7 or MAC OS X, Antivirus program, Microsoft Forefront Endpoint Encryption, Adobe Reader, Internet Explorer and Mozilla Firefox.

Office Desktop

If you have received verification from your department head that you are receiving a desktop please email or call Network services (330-244-3490 or helpdesk-stark@kent.edu) to let us know when your office is ready and your desktop will be delivered. Please plan on a half hour of time with a staff member to test login, configure email and printer options. Once your desktop is in place please read the information below to understand how to use the equipment.

Desktop computers come with a monitor, keyboard, mouse, speaker bar and multiple USB ports and a DVD burner. PC laptops will have Windows 7 and MAC desktops will have OS X. Microsoft Office either 2013 or 2011 Pro Plus, Microsoft Forefront Protection, Adobe Reader and Internet Explorer and Mozilla Firefox are installed. If you have additional software or hardware needs please review with your supervisor.

Office Laptop

If you have received verification from your department head that you are receiving a laptop please email or call Network Services to schedule a time to collect your laptop. 330-244-3490 or email helpdesk-stark@kent.edu. Please plan on a half hour of time to collect the laptop, review the equipment, login and configure email and printing options. Your office will already be setup for you to plug in your laptop to a network connection. You should also read the following article before contacting Network Services.

KSU Communication services

 Kent provides multiple ways to communicate with students, faculty and staff. Use this area to review those communication options. Be sure to work with your supervisor to review the specific inner department requirements.

KSU Email

Kent provides all employees with a Kent email. Your email address is your Flashline username and @kent.edu at the end. Full time employees and those that need to share inner office folders and calendars will use the Kent O365 email system. Part time employees, students and part time faculty  use the Gmail email system. Please do not attempt to gain access to your Kent email until you have been notified by the Stark Campus as your accounts are ready for use. This will avoid problems with other Kent employees sending mail to the wrong email system.

O365

O365 is the latest version of Microsoft Outlook. Kent provides two means to connect to your email, in your office and on the go. When you are in your office, you should be using your office computers version of Microsoft Outlook. Microsoft Outlook will be setup by a Network Services Staff member when your desktop is installed, or laptop is collected. We encourage you to use this version when on campus to avoid frequent time outs in service and connect you with more services. Click on the next series of links to get to know O365. O365 mobile options

When you are not in your office you can connect to email two ways, Outlook Web Access (OWA) or a mobile device. Please use the following links to understand how to connect one of these ways. Please keep in mind that you will be able to see the same messages regardless of which way you receive the mail. Depending on how you setup your mobile device the changes you make to the mail, ie deleting or moving to other folders, will be the same in both locations.

Gmail

Students and part time employees will have access to the Gmail email system. They can still connect to it via the internet or mobile device. All employees and students, regardless of job title will have access to Google Docs. Please see additional content below for more details. Jabber

Jabber is the instant message program to allow you to chat, receive calls, look up directory information and connect to your Outlook calendar. This program is installed on all office computers and can be installed on personal devices. All staff and faculty in Kent State University have access to this program. Directories

Kent provides several directories of contact information. Review the following to understand what is available to you.

Phone Lookup:
The Stark Campus has a utility located on all users desktop under the Stark Utilities folder. This Phone lookup program is just for Stark Campus employees. You can look up employees based on name, location, or extension. If you do not see this program on your desktop please contact the Stark Campus

Directory:
From any Kent website the top left corner of the site has a directory button. If you are logged in to Flashline you will see student information, if not you will only see faculty and staff. For more information on the Kent directory review this link.

Jabber:
Jabber is connected to all KSU employees and can allow you to look up email and phone information for other employees. To learn more about Jabber please try the resources at this site:

Global address list:
If you are a full time faculty or staff member you will have access to the global address list (GAL) this list is a list of all the employees that have O365 accounts. To access this you will need to be logged in to either desktop or online version of Outlook and select the address book icon. If you have concerns about information in the address book please review this article or contact the Stark helpdesk.

You can request a listserv be created for your group and discuss listserv options with the Stark Helpdesk by emailing your request to helpdesk-stark@kent.edu
